Job Limits — How Full a Day Gets Before Agents Stop Offering It

Updated by Sean Daly

A job limit is a ceiling on how full a day gets. Once the day reaches it, your agents stop offering that day and move the customer to another one. It's the setting for asks like "no more than 14 jobs on the board in a day" or "no more than 7 AC maintenance visits a day" — a flat number you picked from how your shop runs, not a percentage and not a per-technician figure.

You'll find it under Settings → Scheduling & booking → Job limits. The page is for your account admins, the people who can manage users.

What a limit counts

  • The whole board, not just our bookings. A limit counts the appointments on that day in ServiceTitan, including the ones your office booked. If your CSRs have already put 14 jobs on Tuesday, an agent won't add a fifteenth.

  • The work you scope it to. A limit can cover every booking, or only certain job types or business units. "14 Inspection visits a day" doesn't touch plumbing.

  • Every limit that applies has to allow it. If two limits cover the same booking, the day has to be under both.

Job limits sit alongside your other controls, not instead of them. Capacity caps, closed days and lead time all still apply. See How Capacity Autopilot works for percentage caps and per-technician count caps.

Setting one up

You set limits by telling Jenny, who sits docked on the Job limits page.

  1. Describe the limit in plain words — "No more than 14 jobs on the board in a day", or "Stop booking maintenance when the maintenance crew is full."

  2. Jenny drafts it and checks it against your upcoming days, so you can see which ones it would have closed.

  3. Nothing is saved until you approve it. Once you do, it takes effect straight away.

You can change or remove a limit the same way — just ask. Removing one puts back the default limit, if your account has one.

Reading the page

  • In effect or Scheduled — whether it's live now or starts on a later date. Dates read as "Since…" or "Starts…, through…".

  • Applies to… — which bookings it covers, or "every booking."

  • Default — a limit your account started with rather than one you added.

  • How it works — open it to see the limit as plain-language steps.

  • "This description may be out of date" — the limit changed since its description was written. Ask Jenny to check it.

If the page says "No job limits are set", agents offer any day ServiceTitan has capacity for.

Where a limit can still be beaten

A job limit is a strong guard, not an absolute ceiling. Two things can push a day past it:

  • The schedule copy can lag. Limits are checked against a copy of your ServiceTitan schedule that can be a few minutes behind. A job your office booked a minute ago may not be counted yet.

  • Two bookings at the same moment can both get through. If two customers take the last spot at once, both may land.

A limit also never stops your own team. Dispatch and CSRs can still book any day in ServiceTitan.

Common questions

Why was a day offered when I thought it was full? Ask Jenny — "Why was tomorrow offered?" — and she'll walk through the count. The usual answer is timing: the job that filled it hadn't reached our copy of the schedule yet.

Can I set a limit for one stretch of dates? Yes. Give Jenny the dates and it'll show as Scheduled until it starts.

What happens to jobs already booked past a new limit? Nothing. A limit stops new bookings; it doesn't move work already on the board.

Is this the same as a capacity cap? No, though they overlap more than they used to. Capacity Autopilot has two kinds of cap: a percentage of an arrival window's capacity, and a count cap that limits jobs per technician per day, so its ceiling rises and falls with how many technicians are on shift. A job limit is a flat count for the day that doesn't change with headcount, and you set it in plain words with Jenny. If you're not sure which one is stopping a day, ask Jenny why it wasn't offered.
