Recurring Reports — Create, Edit, and Hand Them Off

Updated by Sean Daly

A recurring report is a report you set up once and then have delivered on a schedule — a Monday morning ops rollup, a daily lead summary, a monthly membership check. You build it by talking to Jenny, and after that you manage the schedule and who receives it from one screen.

You'll find them under Ask Jenny → Chats → Reports.

Two things to know first

  • You see the reports you created, plus any a teammate has shared with you. A report you made is yours to change. One shared with you shows Shared with you · viewer or · editor on its card, and every card names its owner. The dropdown at the top right — Owned by anyone, Owned by me, Not owned by me — sorts the list when it gets long. See Sharing a Recurring Report.

  • The content is edited through Jenny, not in the Edit box. The Edit dialog covers the schedule and the recipients. What the report actually pulls and says is changed by asking Jenny. That's why there's no prompt field in Edit — there's a button that hands you back to the chat instead.

Create a recurring report

  1. Go to Ask Jenny → Reports and click New recurring report. That opens a chat — there's no form to fill in.

  2. Tell Jenny what you want in plain language. The more specific, the better: "Every Monday at 7am, show me last week's booked jobs by business unit, total revenue, and anything the agents escalated that's still open."

  3. Jenny will build a draft and show it to you. Read it and say what's wrong — "add cancellations", "split that by technician", "drop the chart". Go around as many times as you need.

  4. When it looks right, tell Jenny to save it and schedule it. Give her the day, the time, your timezone, and who should get it.

It'll show up as a card on the Reports list, with the schedule underneath the name.

Change what the report says

Click Edit on the report card, then click Edit report contents in the blue banner at the top. That drops you into a chat about that specific report, and you can tell Jenny what to change.

Every edit saves as a new version, so nothing you had before is lost. If two people edit the same report at once, the second save is rejected rather than quietly overwriting the first — reload and try again.

Change the schedule, timezone, or recipients

Click Edit on the report card. From that dialog you can:

  • Turn scheduled delivery on or off — the Scheduled delivery toggle. Off means it stops sending but keeps everything else.

  • Choose the cadence — Daily, Multiple times daily, Weekly or Every 2 weeks — and the days or hours that go with it. Every 2 weeks also asks for a First delivery date, which anchors which alternating weeks run.

  • Set the time and timezone. The time is when the report arrives; UpSmith starts pulling the data ahead of that so it's ready.

  • Add or remove recipients, and choose Email, SMS, or both for each one.

Then Save changes.

Monthly and annual reports aren't in that dropdown. They keep running exactly as they are, but the dialog shows: "This report uses an advanced schedule. Its cadence will be preserved, but you can still update the timezone, recipients, and enabled state." To change the cadence itself, ask Jenny, or email support@upsmith.com.

To pause a report without changing anything, use the switch on its card. To delete one, ask Jenny — there's no delete button on the card.

Getting it by text

Each recipient can get the report by email, by SMS, or both. Tap the SMS chip next to their name to turn texting on.

If the SMS chip is greyed out, that person has no phone number on their UpSmith account. Add it on their user record and the chip becomes available.

A couple of things about the texted version:

  • It's a short version with a link to the full report — a full ops rollup doesn't fit in a text.

  • The first text UpSmith ever sends to a number includes "Text STOP to opt out at any time." After that it doesn't repeat.

  • Anyone can stop their own texts by replying STOP, or by asking Jenny to unsubscribe them.

Handing a report to someone else

This is the question we get most, so here's the straight answer: you can't transfer a recurring report to another person yourself. Whoever created it stays the owner. You can give a teammate access to it, and an Editor can change the report and its schedule — but only the owner can delete it or manage who else has access.

Three ways forward, depending on what you're after:

  • They just need to see it. Click Share on the card and add them as a Viewer. That's access without delivery — they can open it and read its past runs, and nothing gets emailed to them unless they turn it on themselves.

  • They should keep it running. Click Share and make them an Editor. They can then change the report's content, its name and its schedule timing. Ownership itself doesn't move, so a permanent handover is still the third option.

  • You want it moved as-is. Email support@upsmith.com with the report name and who should own it. We can move it on our side.

Before someone leaves your company, sort out their reports. Once they're removed from your account, any recurring report they still own stops sending — to everyone on it, not just them — and making a teammate an Editor won't keep it going. Before you remove them, email support@upsmith.com with the report name and who should own it, and we'll move it.

Common questions

Why can't I see the prompt I'm supposed to be able to edit? Because report content isn't edited in a text box anymore — it's edited by talking to Jenny. Click Edit on the card, then Edit report contents in the blue banner. If you're looking at an older Recurring task instead of a Recurring report, the prompt is collapsed behind an Edit Prompt button in that dialog.

Can I transfer a report to a teammate? Not on your own — email support@upsmith.com and we'll move it. Sharing it with them as an Editor gets you most of the way: they can change it and keep it running, but they can't delete it or manage who else has access.

My colleague set up a report and I can't find it. They haven't shared it with you yet. Ask them to open the report's Share dialog and add you as a Viewer — that gets you the report and its run history straight away.

Can I get a report every hour? Yes. Pick Multiple times daily in the Schedule dropdown, then choose your delivery hours — there's an Every hour preset, plus Every 2 hours and Business hours. Every hour is the shortest we go; all the selected times share one Minute past the hour, so there's nothing sub-hourly. You need at least two hours selected, otherwise it's just Daily.

Can I set up a monthly or annual report? Yes, by asking Jenny. Those cadences run fine — they just aren't in the Edit dialog's dropdown, so you'll see the advanced-schedule note there.

Can it go to Slack? Not today — email and SMS only.

Can I send it to someone outside my company? No. Recipients have to be members of your UpSmith account. Use Invite new member in the Edit dialog to add them first, if you have permission to invite people.

Some of my recipients say "unavailable legacy recipient" and I can't edit the list. Someone on the list is no longer a member of your account. They'll keep getting it, but the list is locked until it's cleaned up — email support@upsmith.com and we'll sort it.

Why did my report arrive with data that stops before the delivery time? UpSmith starts pulling the numbers ahead of when the report is due, so it's assembled and ready to send on time. Give the schedule a bit of margin after the period you're reporting on.

I got a report I didn't ask for. Reply STOP if it came by text, or ask Jenny to unsubscribe you. You can also ask the person who owns the report to take you off it.
